SuiteFiles update (Making it easier to search)

We have more updates to share with you, including enhancements made to viewing and searching an image, starring files, and the Harmonie plugin for Outlook.

PDF option for recent files

This is a feature that users have been as asking for. The Recent menu has the ability to filter by folder location, Word documents, Excel spread sheets, markdown files and now also includes recent PDFs.

This should make it easier for you to find those PDF files that you’ve recently been working on.

Images, images, images

We’ve done a lot of work on using images in SuiteFiles. If storing, finding and using image files is important to your business we think you’ll like this…

  • All image view

There’s a new icon in our primary navigation on the left side of the SuiteFiles screen. Clicking on this icon will display a thumbnail view of all images stored in SuiteFiles.

This has been designed to help you visually find your image files quickly.

  • Searching for images

Up until today searching for an image in SuiteFiles will just return the name of the image file. We have released a thumbnail view of the image in the search results.

This should make it easier for you to select and open the image file that you are looking for.

  • Viewing an image

When you open an image in SuiteFiles there are a few things included in the viewer.

As with other file types you have the ability to download the image file or to share it with others.

Also, on the right of the image you’ll see a list of all the other image files saved into the same folder as the image you’re looking at. This means that if you’re looking at the wrong image you can see and open other image files.

 

Template enhancement

We’ve made a quick tweak to Template management by adding the date created information for template documents.

Starring shared files

If you need to quickly access files that have been shared with you or that you have shared then try using the new starring feature for shared files.

Search using a Harmonie ID

Many of our users are using the Harmonie plugin for Outlook so they can easily attach documents to emails. The Harmonie tool displays the unique document Id created for each document in SuiteFiles. We’ve had requests to be able to search by this Id so if you know the Id for a document you can now enter it into the search field and return that document.
